Working With Pro Sound & Light Show – Your Minnesota Wedding DJ:

The flow of the wedding reception is one of the single most overlooked items we have noticed in the last 20 years. As you are aware, there are many different wedding events to do at your Wisconsin or Minnesota reception. What you may not realize is how important the flow of these events are and how it affects the overall success of your reception. Again this is your day and as your Minnesota Wedding DJ, we want to do things when and how you want them done. If you have any questions, please do not hesitate to contact us.  We’ve also included some additional tips and recommendations for having a successful and memorable Minnesota wedding reception.

Sequence of Events:  Doing a wedding event is important (ie. first dance, bouquet toss, etc), but when you do it is even more important.  The sequence of events is a very important part of the overall success of your wedding reception. As Minnesota DJ entertainment professionals, we are experts at helping you plan the best sequence for all your wedding events and formalities. While you may get ideas from others, your Minnesota Wedding DJ is uniquely qualified to create the perfect sequence for you. One that flows smoothly from one event to the next, while maximizing your guest’s enjoyment and participation. Flexibility:  It is also important to remember that sometimes things change at the last minute (the receiving line goes longer than expected, photographs take longer, traffic, etc.) and we need to remain flexible with the timing of events.  Your Minnesota Wedding DJ can handle any situation as it arises and help rearrange your special wedding events so that everything will work out just fine.  To complete your Minnesota or Wisconsin wedding timeline, just log in to your free online planning account.

Planning Your Minnesota Wedding Reception:  We believe that the pre-reception planning with one of our staff members is the foundation of a successful event. It is important to note that this planning session will be done by phone about 2 to 6 weeks prior to your Minnesota or Wisconsin wedding reception, and that both the Bride and Groom should be on the phone.  In addition, your Minnesota Wedding DJ will call you the week of your event to cover any last minute details. Planning your Minnesota or Wisconsin wedding reception can be a lot of work, but it should also be a lot of fun. Our goal is to provide you with helpful ideas and suggestions that will reduce your work and increase your overall enjoyment. Our Sound System & Set Up:  One of the most important factors in the success of your wedding reception is where your Minnesota Wedding DJ sound system will be set up. It is critical that your Minnesota Wedding DJ’s sound system is placed in an area next to the dance floor.  Your Minnesota Wedding DJ needs to have a good line of sight to the entrance of the room, head table and cake table. As your Minnesota Wedding DJ and Master of Ceremonies, we need to be able to see each of these areas in order to control the timing of your events.  It is not a good idea to surround your dance floor on all four sides with tables.  Remember, our speakers need to carry sound to the dance area.  If there are tables directly between the speakers and the dance floor, the guests seated at those tables will have an uncomfortable level of sound.  Please be sure to provide your Minnesota Wedding DJ with a minimum of a 6’ x 10’ area to set our sound system and speakers. If your guests are seated in an adjacent area or room, we can provide additional speakers so that all your guests can hear the announcements and music at a comfortable level. A nominal charge will apply for this customized speaker package.

Important: Your Minnesota Wedding DJ will arrive approximately 1 hour or more prior to the music start time (unless early set up time has been arranged). Please make arrangements to have your Minnesota wedding venue open and accessible at least several hours prior to the start time. If this is not possible or you would like to make other arrangements for the set up time, please give us a call.  All we require at your Minnesota or Wisconsin wedding location is a standard 6 or 8 foot heavy duty banquet table, 2 chairs, and 2 separate 20 amp standard grounded electrical outlets within 25 feet of the DJ area.  Please let your Wisconsin or Minnesota wedding hall know about these requirements.  If your Disc Jockey area is outdoors and exposed to the open weather, we will require an alternate covered location in case of inclement weather.

Food & Drink: Immediately following your welcoming of the guests, we recommend having the meal service begin.  Remember, although you have just arrived, your guests have been waiting for some time. During the pre-planning stages, inform your wedding caterer what time you expect to arrive and that you would like the meal service to begin shortly after that. It is easier for the Wisconsin or Minnesota wedding caterer to move the food service back if you are running late than it is for them to move it forward if you are ahead of schedule. Once you have had the opportunity to enjoy your meal, it is a good time for the Bride and Groom to visit with their guests. Typically, most guests will still be eating and you will have about 20 minutes to mingle from table to table. If you would like to provide a meal for your Minnesota Wedding DJ, please let us know on your planning forms so we can plan for that.  Your Minnesota Wedding DJ never consumes alcoholic beverages. However, providing ice water and soft drinks is greatly appreciated.

General Dancing: It is important that the Bride and Groom remain on the dance floor for the first fast dance song as it will make it more inviting as your guests start to dancing as well. As we observe the reaction of your guests, we can then best determine which wedding dance songs to play. Your Minnesota Wedding DJ is an expert at music programming and has the ability to “read the crowd” to keep guests of all ages dancing and having fun.

Gratuities: Unlike many other service professionals, we do not contractually add service charges, or gratuities. After considering the level of service and quality of the presentation, along with your overall enjoyment, we believe you should decide for yourself what level of gratuity, if any, you would like to give. As a reference, a tip of 10% – 15% is most common. For accounting purposes, we ask that you pay any gratuity directly to your Minnesota Wedding DJ.
